TERMS AND CONDITIONS:

EXPLANATORY NOTES, TERMS AND CONDITIONS

HOLIDAY SELECTION
•SELECTION Please tick the appropriate blocks to indicate when your child would like to come to camp. Each session is
7 days (Sunday to Sunday) unless stated otherwise. Please bear in mind that many children request to stay for an
additional session. Pre-book a second session to save on fees and guarantee availability. 
•CIT COURSES are two week counselor-in-training courses for 17 & 18 year-olds who wish to train as counselors.
•PAINTBALL AND EXCURSIONS: Please indicate if your child has permission to play paintball (limited to children aged
10 and older) and/or to go on an excursion if the opportunity arises and your child so chooses. 
•CABIN SHARE: We will try to accommodate cabin share requests, but it is not guaranteed. Cabin share requests must
be made by both campers to be considered. We do not accept requests for cabin counselors. Please ensure the request is
for a child of the same age and gender. If you request a share with a younger child, the older one has to move to the
younger age group which is not usually appreciated.
TRANSPORT
•ESCORTED CHARTERED BUS SERVICE: Departures and pick-ups are from 35 Wierda Rd West, Wierda Valley,
Sandton, Johannesburg. Children departing to Sugar Bay must be there by no later than 7:00am. Those returning will
arrive back in Sandton at approx 4pm. The journey is approx. 8 hours with a stop for a hot lunch (included).  The cost is
R590 each way. The is dependent on sufficient reservations. Places are limited and cannot be guaranteed. Prices subject
to change.
•AIRPORT TRANSFERS (12-1pm): Sugar Bay is about 50kms from King Shaka International Airport (KIA). We can
collect and drop children off at KIA providing that their flights arrive between 12 and 1pm and depart between 1
and 2pm. Children are met at the gate upon arrival. On departure staff members accompany the children to the airport
and stay with the children as long as airport security will permit. This airport transfer charge is R150.  Please note that
we require full arrival and departure flight details as soon as possible.  An Airport Transfer form (to be sent) must be
completed and returned to us two weeks before camp starts (at the latest), failing which we cannot accommodate the
transfer.
•CAR: Children need to be dropped off at Sugar Bay between 3 & 4 p.m. at the start of camp and collected between 8 &
9 a.m. at the end of camp. Drop off/collection outside of these times is NOT POSSIBLE unless prior arrangement has
been made at least two weeks prior to arrival. Permission will only be given in exceptional circumstances. We charge a
R200 per hour levy for children not collected on time for last-minute supervision and catering arrangements.
SESSION FEES
•FEES INCLUDE: accomodation, meals (three meals and three snacks per day), activity tuition, counselor supervision
(3:1 ratio) and equipment hire. They exclude transportation, medical expenses, insurance and pocket money.
•DISCOUNTS: For past campers and for additional siblings from the same family coming at the same time. Book two or
more consecutive weeks up front and get 15% off* additional camps
*Must book up front. Excludes peak season and other promotions.
•DEPOSIT: You need to pay a R1,000 non-refundable deposit per week to secure a place for your child. Reservations
cannot be made until this form has been completed and deposit paid. Payment of the deposit is regarded as your
acceptance of the booking conditions and is non-refundable unless the reservation cannot be accommodated. 
•PROVISIONAL DATES: Sugar Bay reserves the right to cancel a session if there is insufficient demand.
•BALANCE OF THE FEES IS DUE ONE MONTH PRIOR TO ARRIVAL: If a booking is made less than a month prior to
arrival full fees are due immediately. Children are not considered enrolled until full payment is received. Failure to pay
the balance in time may result in the place being lost. A 1.75% pm charge is levied on overdue accounts.
•CANCELLATIONS: There will be no refunds for cancellations made within one month of the start of the holiday.
•CHANGES: No changes will be accepted unless in writing, and received at least one week prior to the start of camp.
•LATE ARRIVALS/DEPARTURES: There are no deductions for children arriving late or leaving early. All money paid
shall constitute agreed and liquidated damages for cancellations, dismissal or early withdrawal.
•CONFIRMATION: On confirmation of reservation you will receive a packing list, transport details and survival kit.
PERSONAL SAVINGS ACCOUNT & ADDITIONAL EXTRAS
•PERSONAL SAVINGS ACCOUNT: Sugar Bay operates a cash-free system whereby each child has a pre-paid account
to cover purchases from the tuck shop, excursion charges and paintball bullets. This account is funded by an advanced
payment and items purchased are charged against this account. Items in the tuck shop include drinks, confectionery,
toiletries and memorabilia. We recommend R400 per session, however if your child would like to purchase clothing,
souvenirs or play paintball (average spend R60 @ 50c per bullet) they might need more.
•CD & DVD. Order a CD of photographs or a DVD of your child’s holiday. Please note that these are general photographs
of the week and we do not guarantee specific photographs of your child.
•2011 CAMPER PACKS: New Camper Packs containing a Sugar Bay drawstring bag, water bottle, recommended
sunprotection stick, pen and table tennis ball. (excl DVD and CDs)  ONLY R120 IF ORDERED NOW (Normally R150).
